Availability, Referee Classes and Shirt Sizes

Last updated October 2026  ·  4 min read

Before event day you need to know three things about your crew: who can come on which day, which judges can take which chair, and what shirt size each volunteer wears. Taikai App collects all three when people sign up and shows them on the Judges and Staff pages of the tournament manager.

Availability

Judges and staff choose one option for each tournament day:

  • All day
  • Morning only
  • Afternoon only
  • Not available

They can add an optional note, for example "I arrive at 10 am on Saturday". Days they skip show as Not set.

Availability is entered in three places:

  • At sign-up, on the Officials and Staff tabs of your public tournament page (see How judges and staff sign up).
  • By the person, later, from their account.
  • By you, on their behalf, for example when someone tells you by phone. Click the day pill on their card or choose Edit availability. For people you added by hand, the availability picker is part of the + Add Official form. The director and staff with the Assign judges permission can edit availability. Everyone else can edit only their own.

Cards, List and Availability views

The Judges and Staff pages each have a Cards | List | Availability switch. The view you pick is remembered for that tournament on your computer.

ViewWhat it shows
CardsOne card per person with photo, contact, availability and actions. Less common actions sit behind the … menu.
ListA compact table you can sort by name, with availability per day and contact icons. Easier to scan when you have 30 or more people.
AvailabilityOne column per tournament day, with people grouped as All day, Morning, Afternoon and Not set, and a count for each day.

On the Judges page, filter chips narrow every view. The Available chip for a day keeps only judges who can come that day (all day, morning or afternoon). The search box works in every view.

Referee rank and in-house classes

Judges give their rank when they sign up. Judges can also record a referee licence (WKF, WUKF or other, with its level), and their badge prints it next to the QR code.

On top of that, you can sort your panel into your own in-house classes. Each judge gets a letter for kata (MK) and a letter for kumite (MC):

ClassMeaning
ACertified center referee
BExperienced center referee (may not be current on rules or certified)
CKumite flag judge
DFlags only

Set the class with the – A B C D picker on the judge’s card or row. It saves right away and works for judges you added by hand too. Filter chips for MK and MC (A to D, or Unclassified) help you find, for example, every class A kumite referee who is available on Sunday. Classes are for your planning and are set by the organizers only.

Staff shirt sizes

Staff are asked for an adult unisex shirt size (XS, S, M, L, XL or XXL) when they sign up on your tournament page. Staff who signed up earlier can set or change it later from My roles on their account. Judges and coaches are not asked.

On the Staff page you see:

  • A size selector on each registered staff card, so you can fix a size yourself.
  • A Shirts line with the count per size and how many have no size yet.
  • Export sizes (CSV), a spreadsheet with name, email, phone, role and size for your shirt order.

Tip: export the sizes a week before you order shirts, then chase the people in the "no size" count.
